How much does a HubSpot migration cost?
Typical price ranges, what drives them, and the costs most budgets miss, from overlap to rework.
The short answer: Partner-led HubSpot migrations commonly range from a few thousand dollars for a small, clean database to about $8,000 to $30,000 for growing companies and $15,000 to $50,000 or more for mid-market Salesforce moves. Data quality, automations, integrations, custom objects and history drive the price. Budget for overlap, internal time and training too.
The quoted price of a HubSpot migration is real, but it’s rarely the whole cost to the business. A budget you can defend includes the migration work, your HubSpot subscription, overlap with your old CRM, internal time, a short productivity dip and, if things go wrong, rework.
Typical price ranges
HubSpot partners publish broadly similar ranges for partner-led migrations. These come from firms that sell migrations, so treat them as a guide rather than a benchmark:
| Type of move | Published range |
|---|---|
| Small, clean database; self-service or tool-based | About $500 to $5,000 |
| Growing companies; standard partner-led migration | About $8,000 to $30,000 |
| Mid-market team, often from Salesforce | About $15,000 to $50,000 |
| Multiple systems, custom objects and heavy integration | $30,000 to $80,000 and up |
One partner reports that quotes for the same job can vary several-fold depending on how each vendor scopes it. That’s why a price set before anyone has looked at your system is a guess.
What drives the price
- Data quality. Duplicates, dead fields and inconsistent values often take longer to fix than the move itself.
- Automations. Every workflow in your old CRM has to be rebuilt by hand. See rebuilding your automations.
- Integrations. Each connected tool needs reconnecting, replacing or retiring.
- Custom objects. They need HubSpot Enterprise, which also changes your subscription cost.
- History. More years of emails, calls and notes means more volume to move and check.
- Reports. Leadership dashboards have to be rebuilt and reconciled.
- Training. Getting reps to use HubSpot is part of the cost, or part of the risk if it’s skipped.
The costs most budgets miss
HubSpot onboarding
HubSpot charges a one-time onboarding fee on many Professional and Enterprise purchases. Partners often handle onboarding instead. Check how this applies to your purchase before you budget for both.
Overlap
You’ll pay for your old CRM and HubSpot at the same time for a while. Check your old contract’s renewal date and notice period early, and plan the timeline around it.
Internal time
Your sales leaders, an operations owner and your reps will spend time on design reviews, testing and training.
The productivity dip
Reps are slower for a few weeks while they learn a new system. Good setup and training shrink the dip; scheduling go-live away from quarter end protects the number.
Rework
The most expensive line: fixing data after go-live, leads that went unassigned while routing was broken, and a team that stopped trusting the CRM. All avoidable with an audit, rehearsals and measurable acceptance criteria.
How to price a migration you can defend
- Get the price after someone has looked at what’s actually in your system.
- Insist on a fixed price for a defined scope.
- Write the success criteria, including adoption, into the contract.
- Hold back part of the fee until those criteria are met.
That’s how we work: a free risk scan, a fixed-price package, the balance due at go-live and a 30-day guarantee.
