Zoho CRM to HubSpot migration guide

How Zoho modules, blueprints and workflows translate into HubSpot, and where Zoho migrations usually trip up.

By the Airtight Migrations team. Published . 1 minute read, part of Moving from your current CRM.

The short answer: Zoho CRM leads, contacts, accounts, deals and activities map cleanly to HubSpot. The harder part is Zoho’s process logic: custom modules, Blueprints and workflows have no one-to-one HubSpot equivalent and must be rebuilt with required properties and workflows. List every connected Zoho app before you plan. Most moves take 30 to 45 days.

Zoho CRM is flexible and affordable, which is why many teams start on it. That flexibility is also what makes leaving it tricky: years of custom modules, layouts, blueprints and workflows that don’t have a one-to-one equivalent in HubSpot. The data itself usually maps cleanly. The process logic needs the most care.

Blueprints and workflows

Zoho Blueprints enforce a step-by-step process on a record, often with required fields at each stage. HubSpot handles this differently, with required properties on deal stages, workflows and task automation. Each blueprint needs to be understood in plain language (“a deal can’t move to Proposal until the budget field is filled in”) and then rebuilt with HubSpot’s tools. Other Zoho apps

Many companies use Zoho CRM alongside other Zoho apps for email campaigns, help desk, invoicing or analytics. Before you plan the move, list every Zoho app connected to the CRM and decide whether each one moves to HubSpot, stays and is integrated, or is retired. Unplanned dependencies are the most common cause of delays in Zoho migrations.

Common mistakes

  • Recreating every custom module as a custom object when properties would do
  • Forgetting the Zoho apps that read from or write to the CRM
  • Losing blueprint rules, so required data stops being captured
  • Not carrying over email opt-outs from Zoho’s campaign tools; see consent when moving to HubSpot
